3. Quotes and Proposals

Quotes and proposals are based on the information provided at the time of preparation. If the project requirements change, additional fees or revised timelines may apply.

A quote or proposal does not form an active project until it has been accepted by the client and any required deposit or approval has been received.

Unless stated otherwise, quotes are valid for 30 days from the date issued.

4. Client Responsibilities

To help us complete work efficiently, clients agree to provide:

  • accurate project information
  • required content, images, logos, files and approvals
  • access to relevant website, hosting, domain, email, analytics or third-party platforms
  • timely feedback and decisions
  • legal permission to use all supplied content and materials

Delays in providing information, approvals or access may affect project timelines.

5. Content Supplied by Clients

Clients are responsible for ensuring that any content, images, logos, trademarks, videos, documents or other materials they provide are accurate, lawful and authorised for use.

Reward Design is not responsible for claims, disputes or losses that arise from client-supplied content or materials.

6. Project Timelines

Project timelines are estimates and may vary depending on project complexity, client feedback, third-party providers, technical issues or changes to the agreed scope.

We will make reasonable efforts to meet agreed timelines, but we are not responsible for delays caused by incomplete information, delayed approvals, third-party services or circumstances outside our control.

7. Payment Terms

Payment terms will be outlined in the relevant quote, invoice, proposal or agreement.

Payment may be required as a deposit, staged payments, monthly payments, support fees, hosting fees or final balance depending on the project or service.

Unless otherwise agreed in writing, invoices must be paid by the due date stated on the invoice.

Reward Design may pause work, withhold delivery, delay launch, suspend services or restrict access to completed work if invoices remain unpaid.

8. Changes to Scope

Any work requested outside the agreed scope may be quoted separately or charged at an agreed hourly or project rate.

Examples of additional work may include:

  • extra website pages
  • additional design concepts
  • new functionality
  • extra revisions
  • content writing beyond the agreed scope
  • plugin, hosting or third-party troubleshooting
  • urgent work or work requested outside normal business hours

We will aim to communicate additional costs before carrying out extra work.

9. Revisions and Approvals

Projects may include a reasonable number of revisions as outlined in the quote or proposal.

Once a design, page, feature, document or project stage is approved, further changes may be treated as additional work.

Final approval confirms that the client has reviewed the work and accepts responsibility for checking details such as spelling, contact information, pricing, links, images, legal wording and business information.

10. Website Launch

Before launching a website, the client is responsible for reviewing and approving the website.

Reward Design will take reasonable care when preparing a website for launch, but the client should check all key content, forms, links, product details, legal pages, contact details and business information before final approval.

After launch, additional changes, fixes or updates may be treated as support, maintenance or additional work unless covered by an agreed warranty or support period.

11. Website Hosting, Domains and Third-Party Services

Some services may rely on third-party platforms such as website hosting, domain registrars, plugins, payment gateways, email providers, CRMs, analytics tools, social media platforms or marketing software.

Reward Design is not responsible for outages, policy changes, price increases, security issues, data loss, service interruptions or technical problems caused by third-party providers.

Where third-party fees apply, these are usually the responsibility of the client unless otherwise agreed in writing.

12. Website Maintenance and Support

Website maintenance, support, hosting, updates, backups, security monitoring and content updates may be provided under a separate service agreement or monthly plan.

If a client does not have an active support or maintenance agreement, website updates, troubleshooting and technical support may be quoted or charged separately.

13. Search Engine Optimisation and Marketing Results

Reward Design may provide SEO, AEO, GEO, content, marketing, advertising or Google Business Profile services designed to improve online visibility, clarity and lead generation.

However, we do not guarantee specific rankings, traffic levels, enquiries, sales, conversions or advertising results. Search engines, AI platforms, social media platforms and advertising systems use their own algorithms and rules, which may change over time.

14. Intellectual Property

Unless otherwise agreed in writing, Reward Design retains ownership of its internal processes, development methods, design concepts, source files, proposal documents, strategy documents, templates, code libraries and pre-existing intellectual property.

Once full payment has been received, the client will generally receive ownership or usage rights for the final approved deliverables created specifically for the project, excluding third-party software, plugins, stock assets, fonts, licensed tools or pre-existing materials.

15. Portfolio Use

Unless the client requests otherwise in writing, Reward Design may display completed work, project descriptions, screenshots, branding, website links or general project outcomes in our portfolio, marketing, social media, proposals and case studies.

We will not intentionally disclose confidential or sensitive business information.

16. Confidentiality

Both Reward Design and the client agree to take reasonable care with confidential information shared during a project or service engagement.

Confidential information will not be intentionally shared with third parties unless required to deliver the service, comply with the law, or where the information is already publicly available.

17. Limitation of Liability

To the extent permitted by law, Reward Design is not liable for indirect loss, loss of profit, loss of revenue, loss of data, business interruption, reputational damage or other consequential loss arising from the use of our website or services.

Where liability cannot be excluded, our liability will be limited to the re-supply of the service or the amount paid for the relevant service, where permitted by law.

Nothing in these Terms and Conditions is intended to exclude rights that cannot be excluded under Australian Consumer Law.

18. Warranties and Consumer Rights

Our services come with rights and guarantees that may apply under Australian Consumer Law.

We aim to provide services with reasonable care and skill. If an issue arises, we encourage clients to contact us so we can review the matter and work toward a practical resolution.

19. Cancellation and Termination

Cancellation terms may vary depending on the project, service or agreement.

If a project is cancelled after work has started, the client may be required to pay for work completed, time spent, third-party costs, purchased materials, booked work or committed project resources.

Reward Design may terminate or suspend services if a client fails to pay invoices, provide required information, breaches these Terms and Conditions, or engages in behaviour that prevents reasonable project delivery.
